Zapier agency

Zaps that run reliably, and a clear plan for when Zapier stops being the right tool

Tenaxity is a Zapier agency for growing teams in the UK and US. We build new Zaps, fix the ones that fail quietly, add AI steps where text needs reading or writing, and move workflows to n8n when task costs or logic outgrow Zapier.

What we build in Zapier

Zapier suits teams that want automation they can see and edit themselves. As your Zapier developer, we use the full toolkit and document every build so your team is not dependent on us.

Zaps and multi-step workflows

Lead capture, onboarding, invoicing and notifications across the apps you already use.

Paths and Filters

Branching logic so one Zap can treat a new customer, an existing client and a spam submission differently, and stop runs that should never happen.

Formatter

Clean names, dates, phone numbers and currency values before they reach your CRM or accounts software, so records stay consistent.

Webhooks

Connect tools that have no Zapier app, or need more control, by sending and catching data through webhooks and direct API calls.

Tables and Interfaces

Zapier Tables to store records between steps, and Interfaces for simple forms and approval pages your team can use without logging into each app.

AI steps

Steps that call OpenAI or Anthropic models to summarise emails, classify enquiries, extract details from documents or draft replies for a person to check.

Zapier audits and fixes

Many accounts grow one Zap at a time until nobody is sure what runs where. A Zapier consultant's first job is often to make the existing setup trustworthy before adding anything new.

Failed tasks

We go through task history, find the steps that keep erroring, fix the cause and add alerts so the next failure is noticed the same day.

Duplicate runs

Duplicate contacts, invoices or messages usually come from overlapping triggers or missing checks. We find the overlap and add de-duplication.

Task usage

We show which Zaps use the most tasks and why, then cut waste with filters, fewer steps and better triggers.

Ownership

Zaps and app connections set up under a former employee's login are a common risk. We move them to shared folders and connections the business controls.

Naming and notes

Every Zap gets a clear name, an owner and a short note on what it does.

Error handling

Where a failure matters, the Zap retries, logs the problem and tells a named person.

How a Zapier audit and fix runs

A Zapier expert should leave you with fewer surprises, not more Zaps. This is the order we usually work in.

1

Inventory

List every Zap, its trigger, its apps, its owner and whether it is on or off.

2

History

Check recent task history for errors, halts, duplicates and heavy task use.

3

Rank

Sort the problems by business risk and by how much they cost to leave alone.

4

Fix

Repair triggers, filters, field mappings and connections, starting with the riskiest.

5

Test

Run each fixed Zap against real sample data before switching it back on.

6

Alert

Add error notifications to email, Slack or Teams for the Zaps that matter.

7

Document

Write down what each Zap does, who owns it and what it depends on.

8

Advise

Recommend what to keep in Zapier and what might be better moved to n8n.

When to move from Zapier to n8n

Zapier is often the right tool, and we will tell you when it is. But some workflows outgrow it. We also work as an n8n automation agency, so we can advise on both without a reason to push either.

Signs n8n may suit you better

  • Cost at volume: Zapier counts tasks per step, while n8n counts a whole workflow run as one execution
  • Complex logic: loops, large data sets, long branching flows or custom code
  • Self-hosting: you want the automation to run on your own server
  • Data residency: you need to control where customer data is processed and stored

Reasons to stay on Zapier

  • Your volumes are modest and task costs are comfortable
  • Non-technical staff build and edit their own Zaps
  • You rely on apps where Zapier's ready-made integration saves real build time
  • The current Zaps are stable once tidied up

How a Zapier to n8n migration runs

Migration does not have to be all or nothing. Many teams move only the heavy or complex workflows.

1. Choose what moves

We use the audit to pick the workflows where task cost, logic or data control make the move worthwhile.

2. Rebuild and improve

Each workflow is rebuilt in n8n, with error handling and logging added rather than copied step for step.

3. Run in parallel

The new workflow runs alongside the old Zap, or against test data, and we compare outputs before switching.

4. Switch over

The Zap is turned off only once the n8n version has handled real work correctly.

5. Monitor

We watch the new workflows closely in the first weeks.

6. Hand over

You get documentation and access, whether n8n is hosted in the cloud or on your own server.

A worked example

A hypothetical lead intake workflow, to show the arithmetic rather than a client result. You can see more patterns in our AI automation workflow examples.

Before

Say a 10-person agency runs a lead intake Zap 3,000 times a month, and 5 of its steps count as tasks. That is 15,000 tasks a month. Say 20 runs a week also fail, and each takes 10 minutes to spot and replay: 200 minutes a week.

After an audit

A filter stops spam submissions before the paid steps, so say 600 runs a month end early. That is 2,400 runs at 5 tasks, or 12,000 tasks. Fixed mappings and alerts bring failures down to 2 a week, or 20 minutes.

If it moved to n8n

The same 2,400 runs would count as 2,400 executions, whatever the number of steps. Under these assumptions the audit alone saves 3,000 tasks a month and 3 hours a week of fixing.

Where this fits

Most teams that come to a Zapier agency use Zapier alongside other automation, not instead of it.

FAQs

Short answers for teams deciding whether to bring in outside Zapier help.

What does a Zapier agency do?

A Zapier agency builds, fixes and maintains Zapier workflows for a business. That covers new Zaps, multi-step workflows with Paths and AI steps, audits of existing accounts, and ongoing monitoring so failures are caught early.

Can you fix Zaps someone else built?

Yes. Most of our Zapier work starts with an existing account. We review what is there, fix what is broken and document it before adding anything new.

Why are some of our Zaps running twice?

The usual causes are two Zaps listening to the same trigger, a trigger that fires on every update rather than on creation, or a missing check for records that already exist. An audit finds which one applies.

How can we reduce Zapier task usage?

Put filters early so unwanted runs stop before the paid steps, combine steps where possible, use better triggers and remove Zaps nobody needs. For very high volumes, moving that workflow to n8n may cost less.

When should we move from Zapier to n8n?

Consider it when task costs climb with volume, when workflows need complex logic or custom code, or when you need to self-host or control where data is processed. If none of those apply, staying on Zapier is often the simpler choice.

Will a migration interrupt our workflows?

It should not. The new n8n workflow runs alongside the old Zap or against test data first, and the Zap is switched off only once the new version has handled real work correctly.

Do you only work with Zapier?

No. As well as working as a Zapier agency, we build in n8n and connect directly to APIs where that works better, and we add AI models where a step needs to read or write text.
