AI in Recruitment
Screen, shortlist, schedule, and update without drowning consultants in admin
Tenaxity builds AI automation for recruitment agencies around candidate screening, CV parsing, interview scheduling, client updates, CRM hygiene, and follow-up workflows.
Where AI in recruitment saves consultants time
Used well, AI in recruitment takes on the admin that slows a desk down: reading CVs, preparing shortlists, booking interviews and keeping the CRM current. It should not decide who gets a job. Tenaxity looks for these bottlenecks in agencies and in-house teams before building anything, and keeps consultants in charge of every hiring decision.
CV review creates bottlenecks
AI can extract experience, skills, location, availability and right-to-work notes into a structured review queue, so consultants start from a summary rather than a pile of attachments.
Shortlists take too long to prepare
Candidate summaries and fit notes can be drafted against the role criteria for consultant approval, in the format each client prefers.
CRM records go stale
Automation flags missing consent, old availability, duplicate candidates and overdue client or candidate follow-ups.
How the workflow runs, step by step
Each build is designed around the workflow, not the tool. AI is used where text is messy, such as a CV or a job brief. Fixed rules handle the parts that need repeatability, such as consent checks, routing and who approves a submission.
Intake
CVs, applications, referrals, LinkedIn notes and emails enter the candidate workflow with their source recorded.
Parse
AI extracts relevant skills, experience, preferences and missing information, and checks for an existing record.
Match
Candidates are compared against the criteria the consultant set for the role and routed for consultant review.
Progress
Interview tasks, client updates and CRM notes are created from actions a consultant has approved.
Recruitment automation that works inside your ATS
Recruitment automation only sticks if the results land in the system consultants already live in. Tenaxity builds mostly on n8n, an open workflow platform, adding a language model only at the steps that need reading or drafting.
ATS and recruitment CRM
We can connect to Bullhorn, Vincere, JobAdder and Greenhouse through their APIs where your plan allows it. That lets a workflow create or update candidates, attach summaries, move stages and log notes, instead of a consultant copying details across. More on this in our AI CRM automation work.
Inbox, calendars and messaging
Applications and client feedback still arrive by email. Workflows can read Outlook or Gmail, offer interview slots from shared calendars, send confirmations and reminders, and post alerts to Teams or Slack. See our AI email automation page for the inbox side.
Bias, fairness and compliance
AI recruiting tools can repeat bias in the data they learn from, so we build controls in from the start. Your team stays responsible for hiring decisions and should take its own legal advice.
Human review on every decision
AI sorts, summarises and suggests. It does not reject candidates or submit them to clients. A consultant makes and records each of those decisions.
UK and EU GDPR
UK GDPR limits decisions based solely on automated processing that significantly affect people. Workflows record consent, apply your retention periods and keep candidate data out of prompts where it is not needed.
US hiring rules
EEOC guidance treats AI screening tools like any other selection procedure, and some places, such as New York City, add audit rules for automated hiring tools. We keep criteria job-related, avoid protected characteristics and log what the AI suggested.
What Tenaxity can build, and what stays with consultants
These are implementation-led workflows with defined inputs, outputs, owners and controls. Fit, salary, relationships and client judgement stay with people.
Automation candidates
- CV parsing and candidate summaries
- Role-fit notes and shortlist prep
- Interview scheduling workflows
- Client update drafts
- Candidate follow-up reminders
- Job brief to advert first drafts
- CRM hygiene and duplicate checks
Controls built in from day one
- Human review before rejection or client submission
- Bias-aware criteria defined by the role
- Consent and data retention checks
- Clear separation between AI suggestion and consultant decision
- Logs of what the AI suggested and what was decided
A worked example: first-pass CV review
The figures below are hypothetical assumptions to show the arithmetic, not results from a client.
Before automation
Say an agency desk receives 240 applications a week across its live roles. A consultant spends 3 minutes on each one opening the CV, checking the basics and logging it. That is 240 x 3 = 720 minutes, or 12 hours a week.
With a parsing workflow
Now say the workflow parses each CV, logs it and drafts a summary against the role, and the consultant spends 1 minute reading the summary and deciding the next step. That is 240 x 1 = 240 minutes, or 4 hours, with every decision still made by a person. Your numbers will differ, so we measure them first.

AI recruitment workflows should speed up screening, updates and CRM hygiene while leaving fit, salary, relationship and client judgement with the consultant.
Structure candidate intake

Explore CRM automationAI in recruitment: FAQs
Short answers for teams deciding whether a workflow is worth mapping properly.
What is AI in recruitment best used for?
Repetitive, text-heavy admin: parsing CVs, drafting candidate summaries, scheduling interviews, updating clients and keeping the CRM clean. Decisions about people stay with consultants.
Can AI reject candidates automatically?
Tenaxity does not recommend automatic rejection. AI should structure and prioritise review while consultants make decisions.
Can this parse CV attachments?
Yes, where file access and permissions allow it, with extraction rules tuned to the agency workflow.
Which ATS and CRM systems can you connect to?
We can connect to Bullhorn, Vincere, JobAdder and Greenhouse through their APIs where your plan allows it, and to other systems with a suitable API, export or email-triggered workflow.
How do you handle bias in AI recruiting?
By keeping criteria job-related, leaving protected characteristics out, keeping a person on every decision and logging what the AI suggested so it can be reviewed.
Is this compliant with GDPR?
The workflows are designed around consent, retention and human decision-making. Your business remains the data controller and should confirm the setup with its own adviser.
Can it schedule interviews?
Yes. It can offer slots from shared calendars, send confirmations and reminders, and update the ATS once a time is agreed.
Does this work for in-house talent teams too?
Yes. The same screening, scheduling and update workflows apply, usually connected to an ATS such as Greenhouse rather than an agency CRM.
