Rank Me Higher: marketing agency automation
An operating system for a growing SEO agency
How Tenaxity built marketing agency automation for Rank Me Higher: an internal platform for audits and client reporting, n8n keyword research workflows, and a booking system on the agency's own website.
The client
Rank Me Higher helps businesses get found, whether that is in Google's results, in paid search or in AI-generated answers.
About Rank Me Higher
Rank Me Higher is an SEO, PPC and GEO agency. GEO, or generative engine optimisation, is about being cited when people ask AI search tools for recommendations rather than scrolling a list of links.
The agency works with clients in the UK, the US and Australia, which means many accounts, many data sources and a steady rhythm of reports.
At a glance
- Client: Rank Me Higher
- Sector: SEO, PPC and GEO (AI search)
- Markets: UK, US and Australia
- Built: agency operating system, keyword research workflows, booking system
- Stack: RMH-OS, n8n, Google Calendar, LLM summaries
The problem: agency work that repeats every week
Most SEO and PPC agencies will recognise this pattern. Every client needs audits, reports and research, and every report draws on several data sources. The work matters, but much of it is the same steps repeated client by client.
Reports built by hand
Search Console, GA4, Google Ads and Google Business Profile each have their own interface and exports. Without automation, a weekly report means copying numbers into a template, one client at a time.
Audits spread across tools
Crawl data, PageSpeed scores and issue lists live in different places. Turning them into one prioritised list a client can act on takes careful, repetitive work.
Research and admin in between
Keyword research needs Search Console data and search volumes side by side. Booking calls through a separate third-party scheduler adds one more tool to manage.
What we built
Three connected pieces, each replacing a manual or third-party step.
RMH-OS, the agency operating system
An internal platform for technical SEO audits and crawl analysis, issue scoring, PageSpeed checks and a modular report builder. It reports from Google Search Console, GA4, Google Ads and Google Business Profile, adds AI-generated executive summaries and produces white-label PDF reports. The agency uses it for weekly performance reports, competitor reports and content plans.
Keyword research workflows
n8n workflows pull Google Search Console data and Google Ads Keyword Planner volumes together, so keyword research starts from what a site already ranks for and how often people search for each term.
A booking system on rankmehigher.co
Built on Google Calendar to replace a third-party scheduler. Visitors see live availability and book a slot, then receive a confirmation, links to reschedule or cancel, and reminder emails before the call.
How the reporting works, step by step
The reporting side of RMH-OS follows the same path for every client, which is what keeps the output consistent.
Connect
Each client's Search Console, GA4, Google Ads and Business Profile data is connected to RMH-OS.
Crawl
Technical audits crawl the site, analyse the results and run PageSpeed checks.
Score
Issues are scored so the fixes that matter most appear first.
Pull
Performance data for the reporting period is pulled from each Google platform.
Summarise
An LLM writes an executive summary from the data in plain language.
Assemble
The modular report builder lays out the chosen sections in a white-label format.
Review
Staff check the report and add their own commentary and recommendations.
Deliver
The finished PDF goes to the client as a weekly report, competitor report or content plan.
Tools used
We connected to these platforms and services to build the system.
What changed
The changes so far are about how the work gets done. Good marketing agency automation takes the assembly off people so they can spend their time on the thinking.
Reports assemble themselves
Data is pulled and laid out automatically instead of being copied from exports into a template.
One consistent format
Every client gets the same white-label structure, whoever on the team prepares the report.
Staff time goes on commentary
The team reviews, interprets and adds recommendations rather than building each report from scratch.
Estimated time saved
These are our estimates of the manual work each task takes, not measured results. They assume one client and the reporting cadence above.
Weekly reports: about 9 hours a month
Pulling Search Console, GA4, Google Ads and Business Profile data into a branded report and writing a summary takes about 2.5 hours by hand. With the report built automatically, review and commentary take about 20 minutes. Over roughly 4.3 reports a month, that is about 10.75 hours down to 1.4 hours.
Audits and competitor reports: about 7.5 hours a month
A manual technical audit write-up takes about 6 hours, against about 1 hour to review the automated one. A competitor report takes about 3 hours by hand, against about half an hour to review.
Content plans and keyword research: about 4.75 hours a month
A content plan takes about 4 hours by hand and about 1 hour to review. Keyword volume pulls take about 2 hours by hand and about 15 minutes once automated.
Estimated total: about 21 hours saved per client each month. For an agency with 10 clients, that is roughly 210 hours a month, more than one full-time person. The booking system also removes the back-and-forth emails for each discovery call.
Marketing agency automation for your team
If your agency runs the same reports, audits and research for every client, the same approach can apply to your stack.
